Encharge <> HubSpot Data States

Encharge recognizes 3 different scenarios based on Data states. Each state requires different steps before the Sync is initiated and making yourself familiar with your scenario will greatly impact the end result.

Please jump to the section that corresponds to your scenario and follow the instructions before activating the Sync.

Encharge doesn't have data | HubSpot doesn't have data

When you're just starting it's normal for both HubSpot and Encharge to contain no Data. In this scenario you can go ahead an implement the Sync without the need of extra preparations. There is no Data that can be damaged, so there is no extra risk involved.

Encharge doesn't have Data | HubSpot has Data

If you're a brand new Encharge user, but you're already using HubSpot as your CRM, then the main focus before enabling the Sync will be HubSpot data organization.

In this case, the integration itself cannot damage your data, but organization prior to the sync will help mitigate unnecessary actions once the sync is active. Here's what you should do prior to the sync:

Clean up and organize your Contact data: The risk here is higher or unwanted subscription charges.

When the sync is activated, all your HubSpot contacts will be synced to Encharge. While HubSpot makes a difference between Marketing and non-Marketing contacts, Encharge does not. Every Contact added to Encharge will count towards your plan and if you have more HubSpot contacts than your Encharge plan allows, you'll be automatically upgraded to the tier that can accommodate the number of contacts.

Clean up and organize your Company data: The risk here is unnecessary actions to delete unwanted companies from Encharge.

Encharge <> HubSpot integration does not allow syncing of deleted Object. Encharge recognizes this as a potential danger to Data integrity. For that reason, all unwanted companies should be deleted or modified so that once the sync starts, there are no further actions to be taken in Encharge. If you sync unwanted companies, you'll need to then delete them from both systems individually and that can be rather time consuming.

Encharge has Data | HubSpot doesn't have Data

If you're a brand new HubSpot user, but you're already using Encharge as your Marketing tool, then you should plan ahead if you're going to use Companies or not.

Things to consider before starting the setup.

  • Companies created in Encharge will not be Synced to HubSpot. Companies will be synced only if created in HubSpot
  • For seamless experience, activate the HubSpot setting "Create and associate companies with contacts". You can find it under HubSpot Object settings. (When activated, HubSpot will automatically create and associate companies with contacts based on domain)
During the initial sync, no Encharge Data will be send to HubSpot

Encharge recognizes HubSpot as the single source of truth for Customer data and that's why the initial sync will not send any Encharge data to HubSpot. There are two ways to handle this:

  1. Manually: You can export your People from Encharge and import them as Contacts in HubSpot using a CSV file.
  2. Automatically: You can use Encharge flow Automation to create HubSpot Contacts from Encharge People. Here's how:

Create a new flow and add the Entered Segment trigger. Select the "All People" segment and enable the trigger setting "Include people who are currently in this segment...".

Then, add the Create HubSpot Record action and select Record Type "Contact". 

The drawback of this method is having to map all the Data points that you'd like have in HubSpot. The major fields are already displayed, however, if you're looking to transfer additional Encharge properties, you'll need to add them individually using the "Add Property" button.

Once you've completed the mapping click "Save" and connect the action with the Entered Segment trigger. The last step is to enable the flow and let it run until you can confirm that all contacts have been created in HubSpot. When that is completed, you can disable the flow and archive it as all future People will be synced automatically to HubSpot.

Encharge has Data | HubSpot has Data

When both systems have Data, and not necessarily identical, a few principles need to be followed to ensure success.

Things to consider before starting the setup.

  • Companies created in Encharge will not be Synced to HubSpot. Companies will be synced only if created in HubSpot
  • For seamless experience, activate the HubSpot setting "Create and associate companies with contacts". You can find it under HubSpot Object settings. (When activated, HubSpot will automatically create and associate companies with contacts based on domain)
  • During the initial Sync HubSpot Data takes precedence over any data present in Encharge. There will be no Encharge data syncing in the intial phase.

Companies created in Encharge prior to the Sync will not be created in HubSpot. The integration expects Companies to be solely created in HubSpot and for that reason it's important to have no companies in Encharge before the Sync. If both systems have the same Companies present, the end result will be duplicated objects in Encharge.

Encharge recognizes HubSpot as the single source of truth for Customer data and that's why the initial sync will not send any Encharge data to HubSpot. There are two ways to handle this:
